OFFICE ADMINISTRATOR, Construction Association of Thunder Bay

Full‐time Position, HOURS: 8:30 to 4:30 pm

The Construction Association of Thunder Bay is a Not‐for‐Profit Association, servicing the needs of companies who service the construction industry in Northwestern Ontario. The Association is a membership driven organization; membership is voluntary and driven by value for services it provides. The Association provides, professional development, health and safety training, tendering information, sales of standard construction documents, networking opportunities and industry information to over 220 member companies and their employees.

The CATB offers a small team environment (2 to 3 people) and the position of Office Administrator is involved in all aspects of the Association and its services. This position reports directly to the General Manager.

Responsibilities of the Office Administrator:

Membership

  • delivering a superior membership experience to existing members
  • identifying and recruiting new members
  • ensuring the CATB’s associated systems which support the membership are current and accurate

Education

  • coordinating the Association’s professional development and training calendar
  • sourcing and supporting on‐site trainers

Events

  • administering (with the assistance of other staff) the Association’s annual roster of events including venue, catering and vendor coordination, sponsorship opportunities, processing participant registrations and payments

Communications, Social Media & Technology

  • responsible for the management of the CATB’s daily emails and notices, website, social media accounts, digital communications and some design work

Finance

  • responsible for the processing of all accounts payable, accounts receivable and bank reconciliations.
  • Processing payments.

Storefront

  • responsible for the ordering and sales of standard construction documents,

The ideal candidate is an energetic and outgoing self‐starter, is willing to learn and look for efficiencies, is comfortable with working in a small, fast paced office. CATB is willing to train the individual in required Association and technical skills.

Qualifications:

  • 1‐2 years of relevant work experience
  • Computer – Microsoft Office, social media savvy
  • Highly organized with the ability to self‐prioritize, self‐motivate and identify opportunities
  • Exceptional attention to detail and a customer service attitude
  • Knowledge of Sage 50 (Simple Accounting) or ability willingness to learn
